Payment Policy
Effective Date: Jan 15th, 2026
This Payment Policy explains how fees are billed and collected for Pivot Aide Tax Services.
- Payment Processing
We use Stripe to process payments. By submitting payment, you authorize Pivot Aide Tax (via Stripe) to charge the selected payment method for agreed fees, including applicable taxes and approved add-ons.
- Pricing and Fees
Service fees are based on the package you select and the complexity of your situation. Final pricing may change if:
- Additional forms are required,
- Additional states/local returns are needed,
- Business/1099 income and expenses require expanded work,
- Prior-year cleanup or amendments are required,
- You request expedited service.
If your return requires add-on services, we will notify you and may require payment before completion.
- Deposits / Base Fees (If Offered)
If you purchase a base fee option (e.g., QuickPrepare or Review Fee), you acknowledge:
- The base fee covers initial review/intake and administrative setup.
- Additional fees may be required to complete preparation and/or filing.
- Work may pause until the remaining balance is paid.
- When Payment Is Due
Unless otherwise stated in writing:
- Payment is due before e-filing (or before final deliverables are released).
- For bookkeeping or recurring services, invoices may be due upon receipt or as stated on the invoice.
- Refund Policy
Because tax preparation and advisory work involves time, labor, and reserved capacity:
- Fees are generally non-refundable once work has begun, including review, setup, document organization, analysis, and preparation.
- If you cancel before any work begins, you may request a refund minus Stripe processing fees and any administrative costs, where permitted by law.
- If a refund is approved, it will be issued to the original payment method via Stripe.
- Chargebacks and Payment Disputes
If you initiate a chargeback or payment dispute:
- We may suspend Services and delivery of any work product until the dispute is resolved.
- We will provide Stripe/your bank with documentation (engagement records, communications, portal logs, deliverables) to support the transaction.
- If the dispute is resolved in our favor, you remain responsible for outstanding balances and reasonable administrative costs incurred.
- Failed Payments
If a payment fails or is reversed, we may pause work and require alternative payment before proceeding.
- Taxes and Government Fees
You are responsible for any government filing fees, postage, and third-party costs unless explicitly included in your package.
- Pricing Errors
If a pricing or checkout error occurs, we reserve the right to correct the error and provide you the option to proceed at the corrected price or receive a refund for the incorrect charge.
